How the system
comes together.

Observe the work before drawing screens. Define a common record, the states it moves through and who may change it. Build one complete workflow before broadening the platform. Plan data migration, staff onboarding and a safe transition from existing tools. The new system should make ownership easier to understand and exceptions easier to resolve.

When to take another route

Keep spreadsheets for flexible analysis or a small, temporary process. Configure a suitable existing product when it meets the important needs. Don't centralize every team simply because one workflow needs help.

Follow one record through the business. Note each tool, handoff, duplicate entry and decision, then identify the smallest useful shared workspace.

Before you begin.

Does this mean replacing all our tools?

No. A focused internal tool can connect existing systems and own only the missing workflow. Each replacement should have a clear reason.

What about existing spreadsheet data?

Define which records are authoritative, clean a representative sample and plan import validation. Keep a recoverable copy and agree how the team will verify the transition.
